Practice Hours and Policies

Regular Practice Hours

All of our 4 locations are open Monday through Friday from 8:00 a.m. until 5:00 p.m. with a one hour lunch break from 12:40 until 1:40 p.m.  We also offer appointments from 8:00 a.m. until 12 noon on Saturdays in our Fairfield office.

Our practice would like to be available when you need us. Please be aware that anytime our offices are closed we have our own Nurses and Physicians on call to help you with urgent matters that cannot wait until we re-open.

Communicating With Our Practice

We have a highly skilled team of nurses who are available daily to help you with your concerns via phone.  Please do not hesitate to contact our office for any concerns or questions you may have.  There is no "foolish question" when it comes to your child.  Our nurses are more than eager to answer any questions. They routinely check with our doctors during the day to maximize continuity. The best time to call for routine questions is during practice hours. The nurses will speak with you directly or try to return your phone call as soon as possible.

Routine Medication Refills

Routine prescription refills may be requested one of two ways. You can log into the Patient Portal and send a request via message to one of our nursing personnel OR you can CALL our office during NORMAL OFFICE HOURS.

We must make note of all refills in your child's medical record.  
We will likely send your refill electronically to the pharmacy of your choice.  Please have your pharmacy's name and telephone number available.  PLEASE NOTE - Not all prescription can be called in or sent electronically and may need to be picked up.

If you require medications for long-term maintenance of conditions (asthma, behavioral medications), we require that your physical be up to date (annual) and that you routinely come in to the office for regular medication check follow up visits every 3 months.

Please allow 7 days for all DPG refills.  All other refills are generally filled within 24 hours.

Vaccination Policy

At Pediatric Associates we believe that immunizing your child is a vitally important part of his or her health management.  We adhere to the recommendations of the ACIP/CDC and therefore do not support any significant delays or omissions from that schedule.  Alternative immunization schedules which result in significant delays or any omissions are not regularly supported or implemented at Pediatric Associates.

Record Release Policy

If, for any reason, you require a copy of your child's medical records, a signed record release form (see "Surveys, Forms and Questionairres" tab on home page) must be completed with our office. We provide one complimentary copy of each chart.  Additional copies will incur a charge of $10.00 with a maximum of $20 per family.

Cancellation Policy

Appointments must be cancelled at least 2 hours prior to the appointment time. Failure to do so will result in your being marked as “No Show”. If there are extenuating circumstances regarding your cancellation, please let us know so we can handle your cancellation accordingly.

"No Show" Policy

Our office puts time and preparation into planning for your child's visit before you arrive. Therefore it is very important that you either keep the appointment or cancel appropriately.  Our providers have a limited number of appointment slots per day to meet the needs of all of our patients.   When a scheduled appointment is not honored or appropriately cancelling we are unable to offer that time slot to another patient . That time is then lost.  We refer to these appointment slots a "No Show" appointments.  

"No show" appoitnments are subject to a "Missed Appointment" fee.  Excessive "No Show" appointments may result in dismissal from our practice.  Again - please just call and let us know if you are unable to keep your scheduled appointment.

Winter Weather - When Will the Office Close?

During the winter months we will inevitably experience inclement weather causing potentially dangerous road conditions.  We, at Pediatric Associates, are very conscious of the safety of our patients, providers and staff.  We also place a high priority on being available for our patients' healthcare needs if at all possible.  With that in mind we have adopted the following winter weather policy to address snow emergencies:

Level 1 - ALL Offices will be OPEN
Level 2 or 3 Butler County - ALL Offices will be CLOSED
Level 2 or 3 Hamilton County - ONLY Harrison Office will be CLOSED 

Either way, please drive safely and remember we have a nurse available on-call to manage urgent triage 24 hours a day.
